COMMUNITY SCHOOL COORDINATOR

Principle Duties and Responsibilities:

Programming

• Oversee development, management, delivery and supervision of community programs, afterschool activities including recreational, toddler drop-in and school-based support programs
• Assist other Island cultural, social and recreational organizations in planning and delivering services to all school age groups in the community
• Assist school staff in improving school/community relations and identify community resources
• Initiate and deliver special programs as determined by community needs.
• Evaluate programs in order to meet the goals of HIES.

Management and Administration

• Train and supervise programs staff, instructors and volunteers including Program Coordinators, Teen Night staff, Parent and Toddler Drop-in, etc.
• Support the HIES Child, Youth & Community School Program committee.
• Create, supervise, or assist in the organization of special events and advertising.
• Prepare monthly and year-end reports to HIES board and year-end reports to School District 71.
• General office procedure, organisation and file management.

Fundraising and Financial Management

• Identify funding sources and prepare and submit grant applications and reports.
• Develop and maintain partnerships with other Hornby community organizations.
• Co-management of core funding and budget with Financial Administrator.
• Monitor yearly budget with finance committee and meet with C,Y & CSP chair on regular basis.
• Liaise with SD71 representative as required, and submit financial requests of yearly budgets.

Communication

• Liaise effectively with community groups and SD71 on behalf of the Community School.
• Communicate with Program Coordinators, support staff, volunteers and community members respectfully and ensure any conflicts are dealt with in an effective manner.
• Maintain effective communication between community programs staff, school principal, school staff and HIES chairperson to ensure a cooperative working relationship.
• Advocate for community school vision, support goals and philosophy of community education.
• Regular meetings with Child, Youth & Community School Program chair, HIES board representative
• Mandatory attendance at HIES Board meeting quarterly or as requested.

Summary of Qualifications and Experience:

HIES seeks an individual who will be a good fit for the organization and is committed to community education on Hornby Island.  The successful candidate will have some combination of the following:

• At least 3 years of experience working in the not-for-profit sector or equivalent experience working in a leadership position, preferably in a school
• Demonstrated ability to think and act strategically on financial management  issues                                          
• Well-developed writing skills and experience in grant writing and fundraising
• Direct experience managing a team of staff or volunteers
• Well-developed organizational skills and ability to work effectively with minimal supervision, as well as part of a team.
• Demonstrated ability to initiate, develop, coordinate and supervise a wide variety of activities and programs
• Demonstrated knowledge of the concepts of community education including community schools and integrated services models
• Strong knowledge of  Microsoft Office, QuickBooks, and various social media platforms 

Wage: $ 25./hour.

Literacy Outreach Coordinator – Position Description

The role of the Literacy Outreach Coordinator, LOC, is to work in conjunction with a local Literacy Task Group to identify the Hornby community’s literacy needs, to facilitate collaboration among various groups and to create and implement a literacy plan.

Overall goal of the position is to facilitate, stabilize and sustain the literacy programming that results from collaborative community planning. This position is for 5 hours per week September – May. HIES seeks an individual who will be a good fit for the organization and is committed to community education on Hornby Island. The specific LOC objectives are as follows:

Job Description:

• Identify literacy needs within our community
• Create awareness and understanding about literacy
• Develop and strengthen partnerships and communication between community organizations
• Be a part of province-wide community of literacy practice

Job Qualifications:

• Relevant post-secondary education or equivalent experience
• Demonstrated knowledge of literacy issues and learning challenges
• Proven ability to facilitate groups, organize and manage projects
• Excellent oral and written communication skills
• Community development experience  

Responsibilities:

• To identify needs of the adult learners in the community and to coordinate meetings with local groups
• To develop and implement the ‘Raise a Reader’ program
• Work and develop Life Long Learning opportunities within the community as identified by Literacy Task Group and community survey
• To create community awareness of the different forms of literacy
• To recruit and support volunteer tutors
• To organize literacy programs in small group sessions
• Support literacy instructions in other services such as community kitchen or employment skills program

The Hornby Island Educational Society (HIES) is hiring a Community School Coordinator and a Literacy Outreach Coordinator. A full description of each position is available on our blog.  The closing date for both positions is Wednesday, November 18, 2020 at noon.

The Hornby Island Educational Society (HIES) is hiring a Financial Administrator.

HIES board of directors is currently seeking a Financial Administrator to work 8-12 hours per month.

On a monthly/bimonthly basis the HIES Financial Administrator will be responsible for:

• Producing bookkeeping spreadsheets for HIES program coordinators;
• Processing invoices, cheque requisitions, etc.
• Conducting bank reconciliations for each program;
• Communicating about any discrepancies;
• Running monthly payroll though Quickbooks Online;
• Issuing Charitable Tax Receipts;
• Preparing basic financial reports for the board;
• Maintaining necessary files; and
• Billing each HIES program for the above services, based on time required.

On a yearly basis, the HIES Financial Administrator will also be responsible for:

• Liaising with the accountant who prepares the year-end financial report (fiscal year-end June 30th);
• Ensuring that the board has the information it needs for the Annual General Meeting;
• Filing the Charitable Tax Return (before December 31st);
• Any other necessary filings and basic administrative tasks to ensure that HIES remains in good standing as a non-profit society and charitable organization.

The HIES Financial Administrator will report to HIES board President and Treasurer and will be provided with a well-appointed office in Room to Grow.

Wage: $25 – $30 /hr

Skills and Aptitudes

The HIES Financial Administrator:

• has significant bookkeeping experience in the non-profit sector;
• high level aptitude with Quickbooks;
• is extremely well-organized;
• communicates clearly;
• can work independently: meeting deadlines and sending reminders on time, every time;
• whole-heartedly believes in the HIES organizational mission.
